Description: 

The Municipality of Northern Bruce Peninsula is seeking a qualified and experienced Audio-Visual (AV) integrator to assess, design, supply, install, configure, and commission upgrades to the Council Chambers audio-visual and livestreaming environment.

The objective of this project is to improve audio clarity, enhance video and livestreaming quality, and simplify system operation for all meeting types. 

The successful Respondent will be responsible for providing a complete solution, including but not limited to:

  • Assessment of the existing Council Chambers AV system
  • System design and recommendations for improvements
  • Supply and installation of required equipment
  • Programming and configuration of audio, video, and control systems
  • Integration with hybrid meeting and livestream platforms
  • Testing and commissioning of the system
  • Staff training and documentation

The Municipality intends for this procurement to be solution-based, allowing Respondents to recommend appropriate technologies and system architecture to meet the operational requirements described within this RFP.

Respondents are encouraged to identify opportunities to reuse existing equipment where feasible while recommending upgrades that improve overall system reliability, usability, and performance.

The proposed system should support phased implementation, allowing improvements to be introduced over time while maintaining functionality of the existing system where feasible. Respondents must clearly identify components that could be implemented in separate phases while ensuring the system remains functional during interim configurations.

Due to operational scheduling requirements, installation and commissioning of the system must occur between August 11 and September 11. Respondents must confirm their ability to complete the work within this timeframe.

The Municipality reserves the right to negotiate scope, pricing, and implementation phasing with the preferred Respondents and may choose to award all or part of the proposed work.
